Summary

As a Project and Logistics Specialist at Frank Mayer and Associates, Inc you will play a pivotal role in ensuring the seamless coordination of projects and efficient management of logistics operations. You will be responsible for partnering with a Senior Project Leader to help manage project timelines, resources, and activities while administering all related shipping needs for each assigned project. This position requires exceptional organizational skills, attention to detail, and the ability to work effectively in a dynamic environment.

  • Organize meetings and project activities among team members, maintain accurate project documentation including meeting minutes, communicate responsibilities to team members, and follow up on all project related tasks.
  • Participate in team meetings, ask questions and provide insight and recommendations regarding the final distribution details.
  • Meet with Senior Project Leader daily to review current workload, project timelines, team member tasks and other necessary items.
  • Facilitate effective communication between all team members.
  • Process all client related shipping requests, ranging from material samples, prototypes, production goods and subsequent warranty replacement needs.
  • Work with Client supplied store lists, typically provided in Excel format.
  • Coordinate all Production shipping tasks. Solicit freight carrier quotes, select carrier(s) and schedule shipments for domestic and international shipping.
  • Prepare all Production shipping documents needed, including but not limited to bill of lading, packing slips, Commercial Invoices, labels etc.
  • Provide detailed post-production distribution reports which include tracking information and proof of delivery.
  • Provide customer service to clients by answering questions and handling their requests.
  • Coordinate client visits by booking conference rooms, preparing necessary items and notifying
  • Assist the team with any other requests to keep the project on track and moving forward. This may include photographing prototypes, communicating project status and following up on deadlines.

  • Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards.

Education and/or Experience

  • Requires a high school diploma and three to six months related experience; or an equivalent combination of education and experience.
  • Previous experience in logistics or a related field is highly desirable.
